How to Use the System on a Day-to-Day Basis

 

This step-by-step guide walks you through exactly what to check and manage each day inside Wyred Insights to keep your recruiting pipeline clean, organized, and moving forward.


Step 1: Review Your Dashboard

When you log in, you’ll land on the Dashboard.

Here’s what to review:

  • Total applicants for the month

  • Lead status breakdown by stage

  • Overall pipeline activity

This gives you a quick snapshot of where everything stands before diving into action.


Step 2: Check the Pipeline for Rotting Leads

Navigate to Pipeline.

What to Do:

  1. Filter to show only Qualified leads (turn off stages you’re not actively working).

  2. Look for:

    • Pink or red cards → These indicate rotting submissions (no recent activity).

  3. Take action immediately:

    • Add a note

    • Move the lead to the next stage

    • Send a follow-up message

💡 Important: The moment you take action (add a note, move stages, etc.), the lead will no longer appear as rotting.

Your goal is to keep this section as clean and current as possible.


Step 3: Review and Manage Tasks

Go to the Tasks section.

Daily Task Checklist:

  • Complete any outstanding tasks.

  • Review tasks tied to specific submissions (via the Tasks tab inside the applicant profile).

  • If you complete a task but the applicant is not hired:

    • Add a new follow-up task (call back, check status, reminder, etc.).

⚠️ Never complete a task without adding the next step (unless the applicant is hired or dispositioned).


Step 4: Manage Interviews (High Priority)

Interviews are one of the most important daily actions.

Go to the Interviews tab.

While you can view interviews inside the Pipeline or Submission Profile, the Interviews tab gives you the clearest overview.

For Each Interview:

  • Successful Interview
    → Mark as successful
    → The system automatically moves them to the next stage (e.g., Interview Held)

  • Failed Interview
    → Mark as failed
    → Provide appropriate notes

  • 🚫 No-Show or Canceled
    → Disposition appropriately
    → Document what happened

Once marked, the interview will be removed from the Interviews list and updated in the pipeline automatically.


Step 5: Follow Up with Applicants Who Haven’t Scheduled

If someone hasn’t scheduled an interview:

  1. Open their Submission Profile.

  2. Go to the Messages tab.

  3. Click Saved Replies.

  4. Select your interview reminder template (or create a new one).

  5. Send.

💡 The system automatically inserts the applicant’s first name using dynamic fields.


Step 6: Check and Respond to Messages

Daily message management is critical.

You can access messages from:

  • The bell notification icon (top right)

  • The SMS Inbox in the left-hand menu

What to Check:

  • Unread messages

  • Recent replies

  • Any conversations requiring response

You can:

  • Mark messages unread (if another team member needs to respond)

  • Click Submission Details to quickly access the applicant’s profile

Your goal: Never leave messages sitting unanswered.


Step 7: Disposition Unresponsive or Unqualified Leads

If an applicant:

  • Never responds

  • Declines the opportunity

  • Is not a fit

  • Stops progressing

You should lose the deal with the appropriate reason.

Example:

  • “Never Responded”

  • “Not Interested”

  • “Not Qualified”

This automatically:

  • Marks the submission as lost

  • Removes them from the Qualified stage

  • Keeps your pipeline clean

🎯 The goal is to empty your Qualified stage as much as possible by moving, following up, or dispositioning every lead.


Step 8: Review Recruiting Insights (Optional but Recommended)

After completing daily actions, check your Recruiting Insights Dashboard.

Look for:

  • Application trends

  • Interview volume

  • Hiring metrics

  • Lead flow patterns

This helps you determine:

  • Whether to increase media spend

  • Whether to pause ads

  • Whether you need additional recruiting action


Daily Recruiter Checklist (Quick Summary)

Every day, you should:

  1. ✅ Review Dashboard

  2. ✅ Clean up rotting pipeline leads

  3. ✅ Complete and create tasks

  4. ✅ Manage interviews

  5. ✅ Send follow-ups

  6. ✅ Respond to messages

  7. ✅ Disposition stalled leads

  8. ✅ Review recruiting insights


The Goal

Keep the pipeline clean.
Move every lead forward or close them out.
Never let qualified applicants rot.

By following this daily process, you ensure your recruiting system stays organized, efficient, and optimized for hires.
